Remote Online Notary Services allow businesses and individuals, to have documents notarized remotely. This process takes place online through a phone or computer. These online notarization programs have a verification process to safely notarize a document digitally while record-keeping at the same time.

While most states allow online services, a few don’t. At the moment, four states don’t: California, South Carolina, Connecticut, and - although technically not a state - Washington D.C.

What’s the Difference Between a Traditional and RON?

Most people know traditional notary services. Traditional signing services require a paper document signed with ink. The signer and public official meet in person for this service. Most notaries know and understand the traditional process. Signers sign the paper document in ink with a pen. Then the notary finishes by initialing and stamping them with their seal. 

Remote online notarization (RON) is when the certifier and signer meet online and the document is signed using electronic signatures. Some states allow paper documents to be signed and notarized using RON.

For remote notarizations on electronic documents, the client signs the document with an electronic signature. The public official then signs the document with an electronic signature and attaches its electronic seal.

Both types of notarization require notaries to be in charge of identity checks (in the form of an ID); however, RON usually needs more information. The platform used will normally have clients or signers answer questions that only they will know. This helps to make sure their identity is protected and the notary feels confident with who is signing the documents. 

How Can I Get Something Notarized Online?

  1. We will create a transaction for the document. 
    • The documents will be attached.
    • The signers will be added.
  2. Midland Forms will send you the paperwork and schedule an appointment to complete the service.
  3. The client or signer enters the RON platform and begins the certification process.
  4. The notary and signer will join on a zoom call.
  5. Midland Forms certifier will explain the process and procedures. 
  6. Completion of identity validation and credential analysis is done.
  7. The signer will then e-sign the appropriate document followed by anyone witnessing the signing.
  8. Notaries will sign and apply their e-notary seal.
  9. All documentation will be sent to all parties for their records.
  10. A copy of the recording is uploaded to the notary's digital journal. This will include the ID process, details about the signer, witnesses, and documents.

Florida Document Specialist states if you are not a U.S. citizen or legal resident there is a special procedure. Two names of U.S. citizens will have to be provided. In addition to that, they need to know you personally and have no personal interest in your transaction. Please note, that those individuals you choose must pass ID verification and meet all of the personal and technological needs.
